Kyros Digital's Client was struggling to analyze a large volume of call recordings each day, leading to bottlenecks and inaccurate performance reporting on the call representatives and agents. Kyros Digital implemented a series of AI enabled Automations, which resulted in a whopping monthly savings of $10,000 per month!
About The Client 🥸
The Client is a Call Center Survey Company. They make a large volume of calls each day on behalf of their clients, providing surveys, campaigns, and quality assurance calls. The typical volume of calls per day ranged between 500 to 1000 over a 1 month period, with an average call length of 45 seconds.
The Challenge 😤
Based on the volume of calls delivered each day, It is near impossible to review all the recordings and transcripts for performance, accuracy, tonality, and success rate for delivering surveys. With an average of 750 calls made per day, and and average length of call recording length of 45 seconds, the total amount of data to analyze comes out to a whopping 562 minutes of audio to review. That is over 9 hours of audio to listen to DAILY.
The client was unable to handle that volume with the current amount of manpower, and what is worst, is they realized an inability to scale operations, due to the limitation of having a manual human review process on every call.
Additionally, the amount of insights and data they could extract from the current process, left them with blind spots, and unable to measure KPI's such as tonality, sentiment, and accuracy of following call scripts.
The Solution 💡
Kyros implemented a series of clever AI Automations built on the renowned Make.com low code automation platform.
The process is simple in approach, the solution is comprised of the following AI Automations:
Automate the fetching of daily call recordings from an SFTP Server, uploading them to Assembly.ai servers, so the audio can be transcribed and data can be extracted. Create a record in Airtable.com to track a new audio file to be processed.
On an interval of ever 10 minutes, grab new file records from Airtable, and start the transcription process with Assembly AI. Once the transcription process is completed, store the transcript, and additional data such as sentiment back into Airtable.
Once a record is updated and flagged as transcribed, the final AI enabled Automation leverages Claude to analyze the transcripts and data, to generate a score for that call.
The client was delivered a series of customizable Airtable interfaces and dashboards to view the data on demand, and presented in a way that is easy to consume and comprehend.
Results 📊
The AI Automations and overall system led to a 100% reduction in manual effort to review the call recordings for the day leading to a savings of around $10k per month in human bandwidth and cost.
